Learn how to import and update users in Unidy

Unidy's import feature enables both the creation of new data and the updating of existing data. To access the importer, navigate to AdminData ManagementImport Runs. If the Data Management option is not visible in your admin menu, please contact your Unidy CSM to activate the importer for you.

Please note that the importer only supports the CSV UTF-8 format.

A search field is located at the top of the page for finding specific imports. Use the imports name as a search parameter. To access an already processed import, click on its name.

How to Import Data?

Before starting the import, please review the following:

  1. Verify Data Fields: Ensure that all required data fields exist in Unidy before proceeding with the import. If any fields are missing, create them as Custom Attributes. For more details, refer to the Custom Attribute Documentation.
  1. Check Data Quality: Make sure your import document meets the required data quality standards. For guidance, refer to the Data Quality Checklist.

To start a new import, click the New button located at the top right corner of the page and complete the following steps:

Upload Import File

Unidy’s Importer supports batch uploads of up to 80,000 data sets at a time. However, we recommend starting with smaller batches—beginning with 1-10 users—before gradually increasing to 100, 10,000, and beyond. After each batch, perform a test check to ensure the data was imported correctly, minimizing the risk of errors.

  1. Select the resource type you want to import from the dropdown menu, usually set to User. Next, choose the CSV file for import.
  1. Determine the column separator (usually a comma or semicolon) and the quote character. Columns that contain the delimiter should be enclosed in quotation marks, either single or double.
  1. Once all settings are configured, click the Start import button.

Mapping Import Data

In this step, you will map your data to existing Unidy data fields. Below is an explanation of each column:

  • CSV column name: Displays the column name from your CSV file.
  • Preview: Shows the first three data entries from the corresponding column.
  • Attribute: Select the matching Unidy attribute from the drop-down menu.
  • Assigned:
    • A check mark appears when a valid attribute is selected.
    • A warning sign or an "X" appears if the CSV column format does not match the selected Unidy field format.

In the next step, you can create a service connection and decide if users can view an active connection to the connected service and automatically synchronize with it. You also have the option to select the following settings:

Update existing users?
Activate to update already existing users with the newly import data.
Invite user again?
Activate to resend an invitation email to the imported users. If you want to invite a higher number of users, please contact your CSM team first.
Sync to plugins
Activate to sync newly imported data to the plugins you are using in your setup. Additionally, Unidy will send Webhook events to registered Webhook addresses.

Please click on the Continue button when you are done.

Summary

In this step, you can select a name for your import, so that you can identify it for future reference. If you're confident about proceeding with your import, click the Start import button.

Import run view

After you begin your import, you are forwarded to the import run view. This screen provides real-time updates on your import progress.

In the top right corner above the progress bar, there's a status indicator. Below the progress bar, you'll see information about the number of data sets that were created, modified, or ignored.

If any rows from your CSV file were not imported, you can download an error report for more information. Once you corrected the erroric entries you can reimport these. You also have the option to download the original CSV file to cross-check the imported data. For a more comprehensive overview, you can revisit the arguments and column assignments chosen in the previous steps.
