Learn how to administrate user information

The user area provides an overview of all existing user accounts and their respective data in Unidy. The user's personal data can be accessed and edited as well as new users can be created and deleted. Only users with admin authorization can access this area and can invite other admins.

Users Overview

You can use the search field at the top right of the page to find a specific user. As a search parameter, you can use an email address. You can access the editing mode on the right side of the list or delete a particular user by clicking on the trash can. To access a user profile and more detailed information, please click on the respective email address.

User profile information

The profile information of a user is separated into 4 different categories and provides an overview of the information provided by the user or integrated services as well as tracking data on the user's behavior.

In the top right corner, you can use buttons Lock, Edit, Destroy, or History to block, update, delete users, or see the change history for the respective user profile.

Account Information

Includes general information on the account and confirmation status as well as the Unidy ID.

Contact Information

Includes all personal information of the user. The user data can be changed by the user in the user profile as long the fields are not blocked by an admin. (Verlinkung zu block feature)

Accept invitation return URL
URL the user will be redirected to, after the initial account confirmation. The respective address needs to be white-listed in the general setting Allowed external redirect hosts.
Confirmation sent at
Timestamp of the account confirmation email sending.
Invitation has been send on
The user received an invitation to Unidy at this date and time.
Invitation created at
Timestamp of the invitation link creation.
Reset password sent at
The user requested a new password at this date and time. The field only includes the timestamp of the last request. If the field is empty, the user never requested a new password.
Sign in count
Number of logins the user already performed.
Current sign in at
Timestamp when the current login session was started.
Last sign in at
Timestamp of the last login session, before the current sign in was started.
Current sign in IP
IP address from which the current login session was started.
Last sign in IP
IP address from which the last login session was started.

History

In the History section, you can view all activity logs for the selected user. Use the search bar in the top right corner to find specific logs. For a more optimized view, you can choose to hide entries with no changes (right corner). Clicking on the user's email address (left corner) will direct you back to the user profile.

How to Guides

The following chapter contains all relevant use cases, you need to know to collaborate with your users.

Create a user

Please note that a user creation in Unidy doesn’t automatically trigger the creation of the user in other integrated systems. Unidy provides Webhooks Events that can inform other systems about creation events. Additionally, Unidy provides API endpoints for third parties to create users in Unidy.

  1. Open the Users section in Unidy Admin.
  1. Click on the New button in the top right corner.
  1. Select whether the user should be invited to Unidy after creation by ticking/unticking the box in the Send invitation email? field.
  1. Enter the users email address and relevant user information.
  1. Click on the Create User button at the bottom of the page.

If the users email address already exists, you will be forwarded to the respective user profile, after clicking on Create User button.

Re-invite a user

If a user didn’t receive the invitation email or can’t find it in the mailbox, you can manually resend the email from the Admin user profile.

  1. Open the Users section in Unidy Admin.
  1. Search for the users email address in the search bar.
  1. Open the user profile.
  1. Click on Resend Invitation button at the top of the page.

The user receives a new invitation email and the old one is automatically invalidated. If you can’t see this button, the user already confirmed the invitation email. You will than see a timestamp in the data field Confirmed at.

Confirm a user manually

If a user didn’t receive the confirmation email or can’t find it in his mailbox, you can manually confirm the user to allow them to log into Unidy. Users who register with a social login don’t require a confirmation of their email address before logging in.

  1. Open the Users section in Unidy Admin.
  1. Search for the users email address in the search bar.
  1. Open the user profile.
  1. Click on Confirm button at the top of the page.

The user can now log into Unidy with his selected email address and password. If you can’t see this button, the user already confirmed the invitation email. You will than see a timestamp in the data field Confirmed at.

Update a user

Please note that a user update in Unidy doesn’t automatically trigger the update of the user in other integrated systems. Unidy can inform other systems about user updates using Webhooks Events as well as other systems can update a user in Unidy via a respective API endpoint. Please check the API documentation for more details.

  1. Open the Users section in Unidy Admin.
  1. Search for the users email address in the search bar.
  1. Ensure that this is the user you want to update.
  1. Click on the pen icon or open the user profile and click on the Edit button in the top right corner.
  1. Update the respective data fields in the user profile.
  1. Save changes by clicking on the Update User button at the bottom of the page.
  1. The user is updated in Unidy.

Update email address

Users can’t change their email address in Unidy profile. Depending on your setup, it may require changing the email address in other integrated services. Please contact your Customer Success Manager in case of questions.

  1. Open the Users section in Unidy Admin.
  1. Search for the user's new email address in the search bar and ensure that there is no preexisting account.
  1. Search for the user's current email address.
  1. Ensure that this is the user you want to update.
  1. Click on the pen icon or open the user profile, and click the Edit button in the top right corner.
  1. Click on the Change email address link below the old email address*.*
  1. Type/copy the new email address in the corresponding field.
  1. Decide, whether user needs to confirm the change or not:
    1. Confirmation is required: i. Untick email confirmed checkbox. ii. Click on Change email. The email address in the user profile will remain the current one until the user confirms the email address through the email he receives from Unidy.
    2. Confirmation isn’t required: i. Tick email confirmed checkbox. ii. Click on Change email.
    3. The email address in the user profile is changed successfully.

Delete a user

You can delete users only from Unidy and the account can’t be recovered within Unidy. Depending on your setup, deleting a user from Unidy will not delete the user from other integrated services. However, Unidy can inform other systems about user deletion using Webhooks Events. Please check the API documentation for more details. Deleting the user will delete all the user data, but not the user newsletter subscription, if the user has one.

  1. Open the Users section in Unidy Admin.
  1. Search for the users email address.
  1. Ensure that this is the user you want to delete.
  1. Click on the trash bin icon or open the user profile by clicking on the email address and click on the Destroy button in the top right corner.
  1. Confirm the deletion of the user.
  1. The user is deleted from Unidy.

Block users

Users whose accounts got hacked or did not correspond with your rules of usage can be blocked. Blocked users are automatically logged out from Unidy and can’t log in again until they are unblocked by an Admin.

  1. Open the Users section in Unidy Admin.
  1. Search for the user's email address.
  1. Ensure that this is the user you want to block.
  1. Open the user profile by clicking on the email address.
  1. Click on the Lock button in the top right corner of the profile.

To unblock the user, please click on the Unlock button in the top right corner.

Create an admin

While creating or updating an account, different roles and permissions can be assigned to the invitee. If a person is assigned the user role, they will not have access to the admin area. However, if the person is assigned the admin role, they can access the admin area once they accept the invitation (new users) or refresh the Unidy page (existing users).

  1. Open the Users section in Unidy Admin.
  1. Search for the user's email address (if the user doesn’t exist, please create a new account see 4.1. Create a User).
  1. Click on the pen icon or click the Edit button in the top right corner.
  1. Assign the respective role in the data field Authorization.
